Client job invoice formats

Choose the level of details on client job invoices by applying the desired layout.

Step by Step Guide:

1. Navigate to ACCOUNTING > Client Job Invoices

2. Select an invoice by clicking the Invoice No. hyperlink

3. Click Settings

4. Click Layout

5. Invoices default to show detailed Line items. To override the Layout, click on the dropdown menu and select from one of the following options:

6. You can find the following options when you click the Layout dropdown menu:

  • Line items - Displays task type name, invoice amount, and line item notes.
  • Line items with units and rates - Displays Task Type name, number of units (e.g., hours for Fee line items), invoice amount, and line item notes.
  • Heading and Sub Heading Totals only - Displays Estimate header and sub-header (if available), invoice amount, and header-level notes.
  • Heading Totals only - Displays Estimate header invoice amount, and header-level notes.
  • No details - Displays the total amount for the Job or Estimate.
  • Line Items with Units, Rates & Taxes - Displays the Task Type name, units, rate, and tax values, and notes against each line item.
  • Estimate, Costs & Previously Invoiced* - Displays the following amount columns: \
    • Estimate - Total amount of approved estimates for this job.\
    • Costs - The billable value of time and supplier cost transactions for the job. Only available for invoices created based on actual costs.\
    • Previously invoiced - the value of client job invoices already created for this job.\
    • This invoice - the amount being billed on this invoice.

Tip: *If you wish to set this invoice layout as the default layout – Navigate to Set Up Files > Set Up Options > Report Texts and Watermarks – check the option Default Costs Production Invoices to Estimate Costs & Previously Invoiced layout.

Group line items into headings and subheadings

7. The invoice inherits the headings and subheadings from the Job Estimate.

You can move a line item under a different heading and/or subheading by selecting from the list of current headings from the drop-down menu.

Create a New Heading

8. Click the New Heading hyperlink located at the top right corner of the screen.

9. Enter a Description

10. Specify the Sort Order (relative to existing Headings)

11. Indicate if this is a Sub Heading by checking the Sub Heading? box. You will then be prompted to assign the Parent Heading.

12. Enter Heading Notes to print on the invoice (optional).

13. Click Save

Change the invoice header details

14. Click the Headings hyperlink

15. Select a heading by clicking the IDKey hyperlink

16. Update the Heading details

17. Click Save
