Client Job Invoice Audit Trail
Comprehensive history log for client job invoices
What is it?
A new audit trail feature that captures the complete history of your client job invoices. It tracks every change made to your invoices - from creation to posting - showing you who made changes, what they changed, and when they made those changes. And like our journal audit trail, it's automatic - no setup needed!
Why does it matter?
Get complete visibility into your invoice history. Whether you need to track down when an invoice amount was modified, when the invoice date changed, or who added that service fee - it's all there. This kind of tracking is invaluable for both internal controls and external audits, giving you a clear picture of every invoice's lifecycle.
How does it work?
Just like our journal audit trail, this feature is already running and capturing changes as of November 23, 2024. Here's how to access it:
Steps
- Go to Accounting > Receivables > Client Job Invoices.
- Use the filters to find the invoices you're interested in.
- Click the Audit Trail link at the top of the page.
- The report will show you all changes, with modified fields highlighted in grey
- Export to Excel or print to PDF when you need to share the information
The audit trail tracks all key invoice information including:
- Basic invoice details (invoice numbers, dates, client and job information)
- Financial data (rates, amounts, markups, service fees, and totals)
- Status changes (draft, posted, cancelled)
- Line item details and modifications
- Client order numbers and job task information
How to read the report
The report makes it easy to spot changes by using grey highlighting. Here's what to look for:
- Each row represents an action taken on the invoice (insert, update, or delete)
- When something changes, you'll see the new value highlighted in grey
- Look at the Action Date and User columns to see when the change happened and who made it
- To see an invoice's full history, just look at all rows with the same Invoice ID
For example, if someone changes an invoice date, you'll see two rows: one with the original date, and another with the new date highlighted in grey. The Action Date and User columns will tell you exactly when this happened and who did it.
