Creating a Dataset in QuickSight
Overview
QuickSight enables users to build dashboards and analyses using datasets that contain structured data. While Accountability provides preloaded datasets for standard reporting, users with Author access can create custom datasets to meet specific reporting needs.
This article explains how to create a new dataset in QuickSight, including exporting records from Accountability and loading them into QuickSight.
Prerequisites
- QuickSight must be enabled for your agency.
- You must have Author access in QuickSight.
- The data you want to use must exist in Accountability and be exported to QuickSight.
Steps to Create a Dataset in QuickSight
1. Export Records from Accountability
Before creating a dataset in QuickSight, you need to export the relevant records:
- Navigate to the Report Selection page in Accountability.
- Apply any filters or templates you want to use for your dataset.
- Click the QuickSight button to export the filtered data.
- Assign a dataset name during export. This name will appear in QuickSight.
Important: If you only save a filter template without exporting, the dataset will not appear in QuickSight.
2. Locate the Exported Dataset in QuickSight
Once the export is complete:
- Open QuickSight from your menu under Data Analysis > AWS QuickSight.
- From the QuickSight home screen, click Datasets in the left-hand navigation.
- Use the search bar to find the dataset name you assigned during export.
- Click the dataset name to view its schema and preview the data.
From here, you can:
- Create a new analysis using the dataset.
- View field types and data structure.
Security and Access Notes
- Only users with Author access can create or modify datasets.
- Dataset visibility is controlled via User Access Groups in Accountability.
- Sensitive data fields may be restricted based on user permissions.
