Deferred Revenue - How to Create via Batch Method

create Deferred revenue transactions by direct data entry, nominating the Job, Task Type and revenue amounts that are to be deferred

Steps:

  • Go to Accounting / General Ledger / Revenue Tools/ Deferred Revenue/ New Deferred Revenue
    By Default the ADD INVOICE button will be checked 
  • Check the button ADD BATCH
  • Enter or select the OFFICE from the drop down menu
  • The date of the Revenue Deferral will default to today's date , which you can change if necessary
  • If required you can change the ACCOUNTING YEAR and or ACCOUNTING MONTH
  • Click NEXT

The next page enter the following information for each transaction to be created – note that at the end of this process, a single ‘Deferred Revenue’ header transaction will be created for each job that you enter on this page.

For example if you add 3 lines with the same Job No – the system will create one ‘header’ Deferred Revenue transaction for that Job, and 3 detail lines will be assigned to that header.

  • Enter or select the JOB NO that is to have revenue deferred
  • Enter or select the TASK TYPE CODE the deferral relates to
  • Select the CHARGE TYPE (TIME if you are deferring time based revenue, INTERNAL if you are deferring internal charge based revenue, SUPPLIER if you are deferring revenue related to mark-ups on supplier charges)
  • Enter the amounts of revenue to be deferred
  • If you need to enter more than the default available 5 lines, just click MORE LINES to get another 5 blank lines.
  • Once you have confirmed that the amount of revenue to be deferred is correct, click the SAVE & CLOSE button – you will be returned to the Deferred Revenue browse page.
