Estimate Audit Trail

Comprehensive history log for Job Estimates

What is it?

A new audit trail feature that tracks the complete history of your Estimates. Every change, from initial creation to final approval, is automatically captured - showing you who made changes, what they changed, and when those changes occurred. No setup required!

Why does it matter?

Having a clear record of Estimate changes is crucial for project management and client relationships. Need to know when an Estimate amount was adjusted? Want to see who modified the scope or added new services? Looking to understand when approval status changed? It's all there in the audit trail, giving you complete visibility into how your Estimates evolve over time.

How does it work?

Steps

  1. Go to Jobs > Estimates.
  2. Use the filters to narrow down which Job Estimates you want to review.
  3. Click the Audit Trail link at the top of the page.
  4. The report will show you all changes, with modified fields highlighted in grey.
  5. Export to Excel or print to PDF when you need to share the information.

How to read the report

The report uses a simple but effective way to show changes:

  • Each row shows an action taken on the estimate (insert, update, or delete)
  • Changed values are highlighted in grey, making them easy to spot
  • The Action Date and User columns tell you when the change happened and who made it
  • To see an estimate's complete history, look at all rows with the same Estimate ID

For example, if someone updates an estimate amount, you'll see two rows: one showing the original amount, and another with the new amount highlighted in grey. You can instantly see who made this change and when it happened.

The audit trail captures all key estimate information including:

  • Basic estimate details (estimate numbers, dates, client and job information)
  • Financial data (rates, amounts, markups)
  • Status changes (draft, submitted, approved)
  • Line item details and modifications
  • Service descriptions and scope changes
