Getting Started with Counta AI Connector
Connect Claude, ChatGPT, Gemini and other AI tools directly to your Counta data.
Access to Counta AI Connector is included with eligible Platform subscriptions. To confirm whether your agency can activate it, contact your Account Lead or submit a support request within the platform.
Overview: Connecting AI to Your Financial Data
Built on the Model Context Protocol (MCP), the open standard for connecting AI tools to business systems, the Counta AI Connector allows AI assistants and AI-powered tools to securely interact with Counta using plain-English prompts instead of direct database queries or custom API integrations.
With the Counta AI Connector, users can:
- Ask analytical questions in natural language
- Generate reports and dashboards without writing SQL
- Retrieve operational data in real time
- Create and update time entries through AI-assisted workflows
- Connect Counta to modern AI tools and agents
Users can work with Counta through natural-language requests instead of manual reporting or integration steps.
Instead of navigating database schemas, building custom reports, or manually configuring integrations, AI assistants can interpret requests conversationally, discover the relevant structures, and execute the appropriate actions.

What is Counta AI Connector?
Counta AI Connector provides real-time access to operational and analytical data from Counta's API.
MCP is the open standard that allows AI tools to securely access external systems through structured tools and actions. With the Counta AI Connector, AI assistants can inspect schema, retrieve data, execute queries, and interact with operational records directly from conversational prompts.
How It Works: Discover, Describe, Execute
Counta AI Connector exposes three tools to connected AI assistants:
- Discover searches for relevant Counta endpoints by keyword, matching against each endpoint's summary, description, and method name, without the AI needing to know Counta's data structure in advance.
- Describe retrieves the full details of a specific endpoint, including its parameters and expected inputs and outputs, so the AI knows exactly how to call it before anything runs.
- Execute calls the selected endpoint with the appropriate parameters and returns the result, whether that's retrieving data or, within the time tracking domain, creating, updating, or approving records in your Counta environment.
Example Use Cases
Operational Workflows
- Create time entries (more "write" operations in the works)
- Retrieve financial and operational data in real time
AI-Powered Operational Assistants
The Counta AI Connector can power AI workflows such as:
- Variance monitoring agents
- AI-assisted onboarding
- Trigger workflow actions based on alerts
Questions Become Prompts
Because Counta provides a consistent, agency-native schema and analytical layer, AI assistants can interact with the platform conversationally. The Counta AI Connector's reports run on Counta's proprietary reporting logic, so the AI supplies filters such as date range, client, or office rather than building profitability, WIP, or margin logic from scratch.
Questions that previously required...
- SQL development
- BI configuration
- Custom reporting projects
- Data model expertise
These requests can now begin with a plain-English prompt.
Examples:
- “Show client profitability by office over the last 12 months.”
- “Which job owners are consistently delivering above target margins?”
- “Create a quarterly client profitability summary.”

Security & Access
Access to Counta AI Connector is controlled through authentication credentials and environment-specific access.
Permissions and accessible actions depend on:
- The User Access Group the user belongs to
- The authenticated user's credentials
- The connected environment, such as Production or Staging
Counta AI Connector respects Counta's operational permissions and access controls. It operates under the connected user's permissions: it cannot do what that user's User Access Group does not allow, and every action goes through Counta's existing controls.
What This Enables
Counta AI Connector creates the foundation for AI-powered operational and analytical workflows, including:
- AI-generated dashboards and reports
- Conversational business intelligence
- Automated financial analysis
- Cross-platform integrations with tools such as monday.com, CRM platforms, HRIS systems, and AI copilots
The goal is not simply easier reporting.it is enabling AI systems to both understand and interact with agency operations securely and contextually.
