How to create a sub job

Sub jobs can be very useful when managing a large project. By creating Sub Jobs, users can separate components or phases within the project for ease of tracking, and still have the ability to report and bill all of the segments together.

Steps:

  1. Create a new job like usual. This will be your Master Job. 
  2. Click Activity located at the top of the page 
  3. Click Sub Jobs from the activity drop-down box. 
  4. Click Create a new sub job.
  5. Enter the following information

    Details

    Description 

    Job Description

    Enter a short job description or the job name.  

    Job Type 

    Enter a job type - This will drive revenue classification and determine which Task Types are available for time recording, estimating, and billing on the job. 

    Client

    Enter a client or click on the magnifying glass to search the agency database. 

    • Only Clients that are assigned to Office(s) can be seen.
    • Default client settings are applied to the job.

    Product 

    Enter or select a product.

    Campaign

    Enter or select a campaign.

    Office

    Default client settings are applied - change if necessary.

    Job Manager 

    Default client settings are applied - change if necessary.

    Production Manager

    Enter or select a product manager. 

    Date Opened 

    The date opened will be defaulted to today's date - change if necessary. 

    Active 

    Check to keep the job active. 

    Date Closed

    Enter the job's closing date. 


    Billing Settings Description
    Billable  Check to view all billable jobs. 
    Default Job Currency Default client settings are applied - change the currency if necessary. 
    Service Fee % Applied by default through the client field but can be edited at the time of a job creation.
    Supplier Invoice Mark Up % Applied by default through the client field but can be edited at the time of a job creation.
    Pass FX Gains/Losses to Clients? Check to view any foreign exchange (FX) gains or losses incurred by a business or financial institution to its clients or customers. 

    Client Information Description
    Client Order No. Enter a client order number if necessary. 
    Budget Enter a budget - optional but recommended. 
    Estimate Contact Applied by default through the client - change if necessary. 
    Invoice Contact  Applied by default through the client - change if necessary. 

     

    Other Details Description
    Billing Status  Enter or select a billing status 
    Producer Enter or select a producer. 
    Finance Lead  Enter or select a finance lead. 
    Scope Status  Enter or select the scope status. 
  6. Click Save
  • You can then create additional sub-jobs and assign them to the same Master Job. Each Sub Job number will be assigned consecutively, such as MX0001/02 and MX0001/03.
  • The sub-jobs are automatically assigned to the master job's office, but one of the benefits of sub-jobs is that they can be assigned to different offices.
