How to set up Media Options in Accountability
Media Options control how the Media feature handles invoicing, reconciliation, and accounting. These settings must be configured to ensure media activity flows correctly through WIP, revenue, and costs.
Steps to Set Up Media Options
- Go to SET UP FILES>Set up options>Media Options
- Select or deselect each option based on your agency’s requirements:
- Disclose Service Fee on Client Media Invoice: Shows service fees as separate lines on client invoices.
- Disclose Mark Up as Commission on Client Media Invoice: Shows markups as commission instead of including them in base rates.
- Media Client Invoice requires appearance reconciliation: Blocks client invoice approval until booked appearances are reconciled.
- Media Supplier Invoice requires appearance reconciliation: Blocks supplier invoice approval until reconciled.
- Use Freewheel Media: Enable only if your agency uses Freewheel for media buys.
- Use Media: Must be enabled to activate the Media feature in Accountability.
- Use PR Media: Enable if your agency manages PR-based media buys.
- Use Media Sales Less COGS Accounting: Posts media sales net of costs instead of posting both gross.
- Click Save to confirm your settings.
- Mandatory Setting: “Use Media” must be checked to enable the feature.
- Disclosure Settings: Decide how service fees and markups appear on invoices.
- Reconciliation Settings: Add controls to prevent invoicing before reconciliation.
- Accounting Setting: “Use Media Sales Less COGS Accounting” changes how revenue and costs are posted in the general ledger.
