How to create a job using the import function

This guide provides steps to use the import function to create jobs in Accountability.

The Import Function streamlines job creation by allowing users to add single or multiple jobs via an Excel template. This reduces manual entry errors, ensures consistency, and saves time.

Step by Step Guide:

1. Navigate to JOBS > Jobs.

2. Click Excel at the top of the page.

3. Select Import.

4. Click Download Template to obtain the Excel file.

5. ### Open the downloaded file and enter job details starting from line 4.

  • You can enter one job or multiple jobs in separate rows.
  • Fields marked with an asterisk (*) are required.

6. ### Required Fields for Import:

  • Job No. – Enter a job number based on your agency's workflow, or leave it blank to let the system auto-generate one.
  • Job Description – Provide a brief description of the job.
  • Client Code – Enter the appropriate client code.
  • Office Code – Specify the office code.
  • Currency Code – Input the relevant currency code.
  • Job Type – Select the job type.
  • Billable? – Enter "Yes" or "No".
  • Date Opened – Input the date the job was opened.

7. Save the completed file on your computer.

8. Click SELECT FILE and upload the saved file.

9. - If the file is correctly formatted, the Search Jobs screen will display the imported job details.

  • If errors are detected, the system will highlight the specific issues. These must be corrected before reattempting the import.

Alert: If the import fails, check the following:

  • Ensure all required fields are filled.
  • Verify that date formats match the system’s requirements.
  • Confirm that all codes (Client, Office, Currency, Job Type) are valid.
  • Remove any special characters that may interfere with processing.
  • Check for duplicate job numbers if manually assigned.
