How to use the Incoming Supplier Invoices function

The Accountability system scans for new supplier invoices every 15 minutes after setting up the Incoming Supplier Invoices. Users review and code each invoice/email received to ensure accurate processing.

Steps:

  1. Navigate to ACCOUNTING > Payables > Incoming Supplier Invoices.
  2. This is effectively your ‘in tray’ for supplier invoices.  Please note that Accountability will attempt to scan the supplier invoice pdf and assign the supplier invoice number for you – check if it is correct and assign or change it if it cannot be read correctly.



  3. The Supplier will already be assigned if it matches the supplier email address on the incoming email. Only 10 invoices are shown on each page - once each invoice is completed and cleared, the next batch of 10 invoices will load.
  4. Click on the Eye icon to see the supplier invoice pdf.
  5. Select the box next to the eye icon.
  6. Select from one of 3 options in order to proceed 
  • SUBMIT -  Select submit if the agency requires a manager's approval on Supplier Invoices.
  • POST - Select post if the user has full approval rights for Supplier Invoices.
  • CREATE SUPPLIER INVOICES - Select CREATE SUPPLIER INVOICES to create an unapproved Supplier Invoice.

Only one user can be in the Incoming Supplier Invoice screen at a time.

Click CLOSE to allow another user to access the function.
