Master Files - How to Update
If you need to make changes to a number of existing Master File records at one time eg Clients, Suppliers etc, you easily can do this using the UPDATE feature
To do this go to the relevant Master File Search screen eg Search Clients and click on the hyperlink which will either be EXCEL or EXCEL - MASTER FILE NAME eg EXCEL - CLIENTS
This will open up a screen presenting 3 buttons
- EXPORT - which will allow you to export the existing master file records based on the filters you have set on the Search screen
- IMPORT - which will allow you to download a template to upload new master file data and or Import a pre populated template
- UPDATE - which will allow you to UPDATE existing master file records
Click on EXPORT button which will download an excel file containing the master file records, with a column for each dataset for that Master File eg Client Code, Client Name etc.
In column B the file will display the system ID Key number for each master file record.
Edit the records that you want to change within the file for eg if you wish to change the Client Manager Code on a number of clients then edit this detail for the relevant clients in Column J.
Note only the data in the columns with a yellow band in Row 2 can be edited as these are the Master file Code fields
There may records in the file that you don't wish to change so you can delete the rows for these records
NB you must not change the ID Key for the rows you are updating.
Save the excel file
Navigate back to the Master File Search screen eg Search Clients and click on the hyperlink, which will either be EXCEL or EXCEL - MASTER FILE NAME eg EXCEL - CLIENTS
Click on UPDATE and select the file you have saved
This will update the records you have changed
You can then open up the relevant record and verify that the change has been correctly made
