How to create a freeform client job invoice

There are 2 ways you can create a freeform invoice. By selecting the task types to be included on the invoice or creating it from an estimate/s.

Create a freeform invoice

Steps: 

  1. Navigate to  Accounting > Receivables > Client Job Invoices
  2. Click Create a New Invoice. 
  3. Enter or select the following information.

    Field  Description
    Job  Enter or select a job.
    Invoice From  Select Free Form. 
    Invoice Date  Enter or select an invoice date. 
  4. Click on Contact, located at the top right of the page, to view the client contact the invoice will be addressed to.  You can also edit the contact by clicking Change/Assign Invoice Contact, located at the top right of the page. 
  5. Change the PAYMENT TERMS for the invoice if necessary. 
  6. Click NEXT
  7. The Client Job Invoice Wizard - Invoice Free Form will display the task types that are related to the Job Type for this Job.
  8. Enter the UNITS for each task type code that needs to be on the invoice. 
  9. Click NEXT. 
  10.  We recommend creating draft invoices to review first by clicking CREATE DRAFT INVOICE. 
  11. Click SUBMIT

Create a freeform Invoice from an Estimate/s

Steps: 

  1. Navigate to  Accounting > Receivables > Client Job Invoices
  2. Click Create a New Invoice. 
  3. Enter or select the following information.

    Field  Description
    Job  Enter or select a job.
    Invoice From  Select Free Form.
    Invoice Date  Enter or select an invoice date. 
  4. Click on Contact, located at the top right of the page, to view the client contact the invoice will be addressed to.  You can also edit the contact by clicking Change/Assign Invoice Contact, located at the top right of the page. 
  5. Change the PAYMENT TERMS for the invoice if necessary. 
  6. Click NEXT.
  7. The Client Job Invoice Wizard - Invoice Free Form will display the task types that are related to the Job Type for this Job.
  8. Click ADD FROM ESTIMATE. 
  9. Check the box to the left of the Job No. you want to include on the invoice.

  10. Click one of the following options. 
    • Create Draft Invoice - if you want to invoice the complete estimate. 
    • Next - if you want to edit the task types and or rates on the invoice. 
      • Click NEXT
      • Edit the invoice with the proper information. 
      • Click CREATE DRAFT INVOICE (recommended) to view a sample of the invoice.
      • Check PREVIEW THE INVOICE NOW to generate a draft invoice.  
      • Click SUBMIT
  11. The Client Job Invoice page will appear.
  12. Click SUBMIT.
  13. Click CONVERT DRAFT to create a final invoice
  14. A final invoice has now been created. 
  15. Click on the invoice number that was just created. 
  16. Click SUBMIT for manager approvals.
