Prospects - How to Create

The Prospects function allows users to maintain details of their new business prospects and leads within AccountAbility, rather than using a separate CRM solution.

Go to Master Files/Prospects

Click on CREATE A NEW PROSPECT 

Enter COMPANY NAME

Select a PROSPECT TYPE from the drop down list if required

NB you can define your own PROSPECT TYPE by clickingthe Prospect Types link on the Search Prospects page.

Enter the Prospects Website or URL if you want to retain this detail in the WEBSITE URL field

Change the OFFICE  if required

Change the CLIENT MANAGER if required

You can enter a description of the opportunity in the DESCRIPTION  field

You can use the CUSTOM CODE function to add your own customised fields should you wish to add various classifications to your prospects. ( for eg Industry, Status etc)

Add activities/tasks related to the prospect at the bottom of the page.

Export a list of current prospects and activities from the Search Prospects page.

Automatically create a client in AccountAbility once you win the prospect – just open the Prospect detail page and click CREATE CLIENT.

Likewise you can then create the first Job in AccountAbility for the prospect by clicking CREATE JOB

From the Master Files/Prospects search page, click the Prospect Activities Link.

This loads a new page where you can see all activities for current prospects.

You can add new activities here, as well as delete or edit the details of existing activities – just check the box on the far left of the activities you want to delete and the various fields become editable.

The MESSAGES function has been added to the Prospects page – just open the prospect and click the ‘Messages’ link.

This feature is similar to the ‘Jobs’ message function.

It allows you to create and retrieve messages and emails relating to a new business prospect within the Prospect itself.

You can also send emails with messages directly to the prospect contact.

When you have a prospect which relates to an existing client, for example a potential new project from an existing clienT,  you can now create a new Prospect and assign it to the client.

Just create the new prospect, then click the button ASSIGN TO CLIENT

You can also create multiple contacts for a prospect, then define the ‘Primary’ contact.
