Purchase Order Audit Trail
Comprehensive history log for purchase orders
What is it?
An audit trail feature that captures the complete history of your purchase orders. It tracks every change made to POs - from creation to completion - showing you who made changes, what they changed, and when those changes occurred. And just like our other audit trails, it's automatic with no setup needed!
This data is available as of January 4, 2025.
Why does it matter?
Get complete visibility into your purchase order history. Whether you need to track down when an amount was modified, who updated a supplier, or when approval occurred - it's all there. This kind of tracking is essential for both internal controls and external audits, giving you a clear picture of every PO's lifecycle.
How does it work?
Steps
- Go to Jobs > Purchase Orders
- Use the filters to find the POs you're interested in
- Click the Audit Trail link at the top of the page
- Export to Excel or print to PDF when you need to share the information
How to Read the Report
The report uses a simple but effective way to show changes:
- Each row shows an action taken on the PO (insert, update, or delete)
- Changed values are highlighted in grey, making them easy to spot
- The Action Date and User columns tell you when the change happened and who made it
- To see a PO's complete history, look at all rows with the same Purchase Order ID
The audit trail captures all key PO information including:
- Basic PO details (PO numbers, supplier information, dates)
- Financial data (amounts, currencies)
- Job and task references
- Line item details
- Status changes and approvals
- Department assignments
- Notes and attachments
