Comprehensive history log for supplier payments

What is it?

An audit trail feature that captures the complete history of your supplier payments. It tracks every change made to payments - from creation to posting - showing who made changes, what they changed, and when those changes occurred. Like other audit trails, it's automatic with no setup needed!

Why does it matter?

Get complete visibility into your supplier payment history. Whether you need to track payment amount modifications, who updated bank details, or when posting occurred - it's all there. This tracking is essential for both internal controls and external audits, giving you a clear picture of every payment's lifecycle.

How does it work?

Steps

  1. Go to Accounting > Payables > Payments
  2. Use the filters to find the payments you're interested in
  3. Click the Audit Trail link at the top of the page
  4. Export to Excel or print to PDF when you need to share the information

How to Read the Report

The report uses a simple but effective way to show changes:

  • Each row shows an action taken on the payment (insert, update, or delete)
  • Changed values are highlighted in grey, making them easy to spot
  • The Action Date and User columns tell you when the change happened and who made it
  • To see a payment's complete history, look at all rows with the same Payment ID

The audit trail captures all key payment information including:

  • Basic payment details (payment numbers, supplier information, dates)
  • Financial data (amounts, payment methods, currencies)
  • Bank account information
  • Payment status and processing details
  • Related invoice references
  • Department and employee assignments
  • Notes and descriptions
