System Update - Job UI Redesign

Simplified job form streamlines job creation and management

What is it?

The Job form has been redesigned and reorganized to simplify the creation of new jobs and streamline the overall user experience for all job stakeholders. 

Why does it matter? 

Users can focus on the information required to quickly create jobs to execute a client project. 

Job stakeholders can easily see the primary details about the job and access activities or other other settings in the relevant sections. 

What changed?

The new UI provides a streamlined and more comprehensive look by breaking down the needed information into easy-to-manage sections and actions. 

There are 3 main parts to this change:

Job Form

  1. The main Job Form only displays the primary details of a job, broken out into specific sections for ease of navigation:
    1. Details what this job is about, including the description, type, client, office, and job manager. 
    2. Billing Settings shows whether this job is billable or not (inherited from the client in main Details section), as well as the default currency used in reporting. 
    3. Client Information includes additional details provided by the client including a Client Order No, Budget (for reference), and Contacts from the Client record
    4. Other Details includes agency-defined custom fields
  2. The hyperlinks on the old job UI have been consolidated within the Settings sub-menu on the top right-hand side of the page.

    3. Lock Transaction Types
    4. Interoffice Billing
  3. Transaction links and messages have been consolidated within the Activities sub-menu on the top right-hand side of the page.  Where applicable, a count appears next to the activity to indicate the number of transactions posted to the job. 
    1. Sub Jobs
    2. Financial Status *
    3. Estimates
    4. Client Job Invoices
    5. Purchase Orders
    6. Messages

Note on Job Creation:

The page sub-menu, including Settings and Activities, only appears on job creation after the client has been entered. 

Financial Status

For this release, this page shows the Job Financial Status for the job.

Subsequent release(s) will centralize all relevant financial details about a job, including:

  • Job Billable Status for all charge types, with option to drill-down into specific transactions 
  • Job Cash Details by transaction type, with option to drill down into specific transactions
  • Time transactions
  • Billable and non-billable External Costs 
  • Option to include amounts from unposted transactions
