How to use the Task Management Screen
Use the Task Management Screen (TMS) to visualize Tasks allocated to Teams and or Employees.
It will allow you to:
- Filter the TMS by Client and or Job No
- Display the TMS on a daily, weekly, monthly, or Timeline view basis
- Change the date range of the TMS using the calendar or selecting specific date ranges
- Add and allocated Tasks directly from the TMS
Using the TMS
- Select the TEAM you wish to view/work-on.
A team can contain as many or as few employees as you wish. An individual can belong to one or many teams. Teams and team members are maintained through the Master Files /Teams Menu or from the TMS by clicking on Teams
- Select the 'Start Date:' for example if you select July 15th the page will display tasks for July 15 onwards.
- Timeline - shows tasks for the next 14 days from the start date (this is the default view)
- Month - shows the tasks for the calendar month of the start date
- Week - shows the tasks for the week of the start date
- Day - shows the tasks for the day of the start date, in one hourly grids
The grid will display the following timeline tasks:
- Tasks which are assigned to Employees who are members of the selected Team. These tasks are displayed underneath the respective Employee, so you can all tasks that are assigned to specific Employees in the date range in view
- Tasks which are assigned to the selected Team, but not yet assigned to a specific Employee are shown in the first row under 'Not Yet Assigned'.
Drag and Drop feature
- If you have a task assigned to the selected Team - which appears under the 'Not Yet Assigned' - just drag the task and assign it to the selected Employee and drag it to the date or time (depending on the view you are working in) that the task should be carried out.
- To change the information on an existing Task, just click on the task, edit the relevant information then click SAVE
- To add a new Task directly from the RMS, just click on the relevant Employee /Date and right click on your mouse select NEW TASK
- From the next screen add/select
- Job Number
- Task Type
- Notes or instructions in the Description field
- Date range for the task to be completed; and
- if you want to allocate the task to a specific day you can also select the start and finish time
- Having created the task via the TMS you can drag and drop to another employee
- You can reassign, edit or delete any task appearing in the TMS by moving your cursor over the task and right clicking your mouse
- You can also copy a Task by right clicking your mouse
Tasks created directly in the TMS will appear in the My Calendar screen under the My Outstanding Task List, and also if created for a specific time of day, will show within the calendar for that time frame.The employee will need to click on the Diary entry to create a Time entry.
Note
We recommend that creation of new Tasks be managed within the Timelines function rather than within the Task Management function. Tasks created using the Task Management function will not appear in the Timeline itself . All changes made to existing tasks using Task Management will update the Timeline Tasks
