Client Job Invoicing and Estimate Enhancements
Filter Job Estimates based on client invoice status
A new Invoiced to Client filter on the main Estimates page allows you to isolate Job Estimates according to the client invoice status.
Invoiced to Client Status |
Description |
Invoiced and Not Invoiced |
Default view. Includes all estimates based on other parameters selected. |
Not Invoiced Only |
Only includes estimates that have not been invoiced to the client. |
Invoiced Only |
Only include estimates that have been invoiced to the client. |
A new column Client Inv Amt (Excl Tax) has been added to the main Estimates page to display the amount that has been invoiced to the client for each estimate. To add this to your view, click the Columns button and 'unhide' this new column.
Automatically allocate rounding adjustments for scheduled invoices
When generating an invoice based on scheduled estimate values, you now have an option to automatically allocate rounding adjustments to a specified task type. This ensures that the amount on the client invoice matches the scheduled amount to the penny. Learn more.
Include additional components when copying an Estimate
When copying an existing Estimate to create a new Estimate, you now have the option to copy the Revenue tracker, Resource tracker, and Scheduled Invoices. Select Copy Start Date if you want to use the same timing of the estimate from the revenue and resource trackers.
Time and Resource Management Updates
Lock task type on timesheets
An individual's timesheet is automatically populated by the default task type on the employee's record. A new option is now available to lock the default task type and prevent staff from selecting other task types for the job. The option to Lock Task Type on My Time can be enabled from Set Up Files>Set Up Options/Timesheet Options.
Consolidate time data across offices
By default, the system will create a Separate Report for Each Office, but you can now uncheck this new option to consolidate time data in a single report. This is especially helpful when analyzing employee-level time details,.
Analyze client profitability by comparing monthly revenue against time spent
The new Client Monthly Time and Revenue Report gives your agency insight into situations where significant billable time has been spent on a client in excess of revenue generated over a period of months. Learn more.
Download client resource tracker by department and role into Excel
Accountability's Resource Tracker gives agencies a view of estimated versus actual hours (or FTEs) by client, department, and role. You now have the option to export this data into Excel. The file contains a worksheet for each department and lists resource details for each client and role (title).
To access, navigate to Jobs>Resource Tracker>Resource Tracker Client Summary and click on the Client Resources by Department & Title hyperlink on the upper-right hand of the page. You can choose to include any or all of the following data:
Resource Tracker | The estimated resourcing allocated to roles (task types) within a Job Estimate for a client |
Actual | The actual resources spent from timesheet data |
Variance | The difference between the estimated and actual resources |
Revenue Recognition Enhancements
Accountability's Revenue Recognition functionality automates the creation of revenue accruals/deferrals.
Recognize revenue based on the timing schedule from the revenue tracker.
In addition to the Recognition Method of adjusting revenue to reflect the value defined in the revenue tracker cumulatively , you can choose the new option "To Revenue Tracker - Current Month" to reflect the values defined in the revenue tracker for the current month.
Reverse previously accrued/deferred revenue
This function allows you to reverse all previous revenue accruals/deferrals on selected jobs. This is especially helpful if you made a series of accruals and deferrals on a series of jobs over a period of several months and the jobs are now complete and you want to reverse all accrual/deferral balances. This replaces having to create manual reversal accruals/deferrals to bring the balance to zero.
Create and save multiple column layouts
In addition to customizing the columns to include in any grid view, you can now create different layouts and save them. This enables you to create various focused views for financial analysis or inform tactical tasks. Learn more.
Job Cost Central
The Job Cost & Billing Summary centralizes all financial data related to a job. There are 2 primary functionalities that can be used independently or in conjunction with each other:
Customizable views
The Job Cost & Billing Summary comes with a default Accountability view which can be customized by an Agency Administrator and published as the Company Default. Users with access can create and save custom views for their own use or share (publish) it with specific departments/teams within the agency.
Any of the saved views can be exported as a standard report or with advanced filters applied. Learn more.
Billing instruction
Use the Job Cost & Billing Summary to standardize your invoicing process. A standard list of invoice instruction types can be defined and assigned to each job for the specified period with detailed instruction notes. Because the cost details are in the summary, there’s no need to generate separate reports for cost review and approval.
