A mid-year roundup of new features and enhancements to streamline your workflow
Centralize billing communication
In addition to managing client invoicing instructions, Job managers and billers can now exchange messages directly from the Job Cost and Billing Summary page.
To manage your billing communication within the platform, navigate to Jobs>Job Summaries>Job Cost & Billing Summary. Click the Job No. to open the job detail page, and you'll see the Billing Messages link on the top right of the page. From here, you can create new messages or see the message thread on a specific job.
Save time by setting data filters once
You can now define global filters to apply across pages and reports. This allows you to focus on a specified data set while navigating the platform. For more information, see Global Filters.
Get real-time insight on retainer amounts
The Retainer page now provides additional columns to keep you up-to-date on the financial health of your retainer jobs. Compare Retainer vs Invoiced vs Actual hours and amounts in one place. For more information, see Retainers.
A visualization of this data is also available on the dashboard. Choose from various charts under the Retainer category. Your User Access Group needs to have access to these charts. See My Dashboard to learn more.
Dashboard enhancements
View alerts in one place
The following dashboard tiles have been added to show the number of items that require your attention. The number is a hyperlink that brings you to the relevant page to take action. For example, clicking on 3 below brings you to the Manage>Expense Claims page to review and approve expense claims that are pending your approval.
View data in chart or table view
You can now switch Dashboard tiles between a chart view and a table view. For relevant charts, click on the Show Table Data icon. Closing the table view brings you back to the chart view.
Talent payment management (Australia only)
Extensive talent payment management functionality is now available to Australian agencies through our integration with the Xero payroll platform. This includes the ability to:
- Make payments to superannuation funds
- Process talent reporting requirements via single touch payroll
For more information, see: How to set up Talent function, How to process Talent, How to set up Xero to process Talent, and How to manage talent processing.
Choose currency on Scheduled Invoices Report
The Scheduled Invoices Report gives you a total of estimate vs invoiced to-date amounts and a monthly breakout of amounts to invoice in future months for scheduled invoices. You can now choose to run this report by Invoice currency instead of the Office currency, which is the default.
Automate interoffice revenue sharing
This function automates the process of sharing revenue between offices based on a set percentage. To learn more, see Interoffice revenue sharing.
Client Monthly Time & Revenue Report
This client profitability report shows revenue earned compared to time spent by month. Time display options include Total Hours, Billable Hours, Billable Hours @Billable Rate, and Total Hours @Cost Rate. To learn more, see Client Monthly Time and Revenue Report.
Report fixed assets and depreciation for a full year
The Fixed Asset Report can now be run for a full accounting year. Previously, the report can only be generated for a single month. To run this report, navigate to Accounting>General Ledger>Fixed Assets and click the Fixed Assets Report link. For more information on fixed assets, see Fixed Assets Management.
Attach PDF to supplier invoices
Invoice PDFs received through the Incoming Supplier Invoices inbox are automatically saved with the Supplier Invoice. For imported or manually created invoices, there's now a way to upload a PDF on the detail invoice page.
Integration with Bamboo HR
Accountability is now integrated with BambooHR for time off management. Agencies on BambooHR continue to enter and approve time off requests within the HR system, and time off data automatically flows to Accountability through this integration. Time off data from BambooHR can be recorded in Accountability as timesheet records or leave requests. To learn more, see Accountability Integrates with Bamboo HR.
Leave and Public Holidays hours on Time reports
All time reporting and data exports under Time & Tasks>Time Report have been updated with the option to include or exclude Public Holiday hours and Leave hours.
Allocate an employee on resource trackers across jobs
This new function enables the resource manager for a client to allocate an employee to a specific estimate task line item across jobs. Navigate to Jobs>Resource Tracker and select Resource Tracker, set your filters, and select the jobs you want to allocate an employee to. For more information, see Allocate employees to resource tracker.
Link Media Schedules to Jobs
For agencies using the native Accountability Media function or Mediaocean integration, media schedules can now be linked to Jobs. This means that accounting postings for the media accounting transactions - client media invoices and media supplier invoices - are dissected against the linked job. This is useful if an agency wants to track revenue by client statement of work, including media revenue. Navigate to Media>Media Schedules and open the schedule to link the Job Number.
Exclude employees from auto-time approval
Agencies now can exclude select employees from having their time automatically approved. This is typically used for freelancers, where manager review is required before employee hours are posted to jobs. For more information, see Exclude Employees from Auto Time Approval.
Capture overtime rate and hours for payroll reporting
This function is designed to capture and reconcile employee payments for overtime hours worked. For more information, see Report Overtime Hours and Payroll Amounts.
Manage and report sales commissions
This functionality allows agencies to manage sales commission or referral fees for employees or external sales resources. Payable commission amounts can be reported based on invoiced or received client amounts. For more information, see Sales Commissions.
