Locked Approver Filter for “My Data Only” Users on Approval Pages

Overview

To enhance data privacy and streamline approval workflows, the Approver filter on approval pages is now locked (read-only) for users with “My Data Only” access rights. This change ensures users can only view and act on transactions assigned to them, without visibility into other approvers’ data.
 

What is it?

A system update that restricts users with “My Data Only” access from changing the Approver filter on approval pages. The filter is now locked to the logged-in user, preventing them from viewing or selecting other approvers.
 

Why it matters

Previously, any user with access to approval pages could change the Approver filter, potentially viewing transactions not assigned to them. This posed a risk to data confidentiality and could lead to confusion or unauthorized actions. By locking the filter:
  • Data visibility is limited to the user’s own approvals
  • Approval workflows remain secure and compliant
  • User experience is simplified and aligned with access rights

How it works

  • When a user with “My Data Only” access opens an approval page (e.g., Supplier Invoices, Expense Claims), the Approver filter is automatically set to their own name.
  • The filter is read-only and cannot be changed.
  • Users can still view transactions where they are the designated approver even if the transaction was initiated by someone else.
  • Exceptions apply for users in User Access Groups with broader permissions they retain the ability to view and change the Approver filter


 

Approvers Can Now Open Expense Claims Without Full Access

Overview

Approvers can now open and review individual expense claims directly from the approval page even if they don’t have access to the full “Manage Expense Claims” section. This update makes it easier for approvers to do their job without exposing unrelated data.
 

What is it?

A usability improvement that allows approvers to open the expense claim form from the approval page, even if they don’t have permission to browse all expense claims. This ensures they can view and edit the claims assigned to them, without seeing claims they’re not responsible for.

 

Why it matters

Previously, approvers without full access couldn’t open the expense claim form, which made it difficult to review or edit claims they were assigned. This update:
  • Removes unnecessary access barriers
  • Keeps sensitive data secure
  • Improves the approval experience for users with limited permissions

How it works

  • When an approver clicks a link from the Approve Expense Claims page, the system now allows access to the individual claim form.
  • The system no longer checks for “Manage Expense Claims” access when opening the form.
  • Approvers still cannot browse other claims access to the full list remains restricted.
  • The same update applies to Credit Card approvals, ensuring consistent behavior across expense types.


 

Attendees Modal for Approvers – Expense Claims

Overview

Approvers now have a clearer, more interactive way to view attendees linked to expense claims and credit card transactions. Instead of hovering over a comma-separated list, users can click an icon to open a dedicated Attendees modal making it easier to review who participated in business meals, meetings, or events.
 
 

What is it?

A redesigned Attendees modal that replaces the previous hover-only experience. Approvers can now click an icon to open a full modal showing attendee details. Depending on the status of the transaction, the modal will either be read-only or editable.
This enhancement applies to:
  • Expense Claims

Why it matters

Previously, approvers had to hover over a small field to view attendees, which was limiting and hard to use especially with long lists. The new modal:
  • Improves visibility and usability
  • Supports compliance with expense policies
  • Makes it easier to confirm who attended without needing to scroll or guess
It also introduces a cleaner layout and better support for both internal employees and external attendees.
 

How it works

  • Clickable Icon: If attendees are present, an icon appears next to the expense line. Clicking it opens the modal.
  • Read-Only Mode: For transactions with statuses like Submitted, Manager Approved, or Not Required, the modal shows a summary only.
  • Editable Mode: For transactions in Unsubmitted, Rejected, or Manager Editing status, the modal allows full editing of attendees.

When is it needed?

This update is especially useful for:
  • Approvers reviewing business meals or group expenses
  • Agencies that require attendee documentation for compliance
  • Teams preparing for audits or client billing reviews
The modal is already live for Expense Claims and will be rolled out for Credit Card transactions in a future release.
 
 

 

Improved Task Description Display on My Time

Overview

We’ve improved how task descriptions appear in the My Time module when using the “Match Time to Estimate” setting. This update ensures that the correct estimate description is shown consistently making it easier for employees to understand and confirm the work they’re logging time against.

 

What is it?

A fix that ensures the Estimate Description continues to display after saving a time entry, instead of reverting to the generic task type name. This applies when the “Match Time to Estimate” option is enabled and the time entry is linked to an estimate.
 

Why it matters

Previously, when users selected an estimate line while entering time, the correct description appeared during entry but after saving, it reverted to the task type name. This caused confusion and made it harder to verify time entries.
With this fix:
  • The Estimate Description stays visible after saving
  • Users can easily confirm they’ve selected the correct task
  • The hover-over tooltip is cleaner, showing only the description (no repeated task type code)

How it works

  • When “Match Time to Estimate” is enabled, and a time entry is linked to an estimate, the system now displays the estimate description consistently even after saving.
  • The hover-over tooltip has been updated to remove the task type code, since it’s already shown in bold in the Task Type cell.

When is it needed?

This update is especially helpful for:
  • Employees entering time against detailed estimates
  • Teams that rely on accurate task descriptions for billing or reporting
  • Agencies using the “Match Time to Estimate” setting to streamline time entry


 

GL Account Custom Codes Now Available on Layout and Export

Overview

You can now view and export GL Account Custom Codes directly from the GL Transaction Search screen. This enhancement makes it easier to analyze and report on GL transactions using your agency-defined custom fields without needing to rely on external tools or workarounds.
 

What is it?

A layout and export enhancement that adds GL Account Custom Codes to the GL Transaction Search screen. These codes are now visible in the on-screen layout and included in Excel exports, giving users more control over how they view and share GL data
 

Why it matters

Previously, while GL Account Custom Codes were available in filters, they weren’t visible in the layout or included in exports. This limited users’ ability to:
  • Analyze GL data using custom classifications
  • Share detailed reports with stakeholders
  • Use exported data for reconciliation or audit purposes
With this update:
  • GL Account Custom Codes are now part of the grid layout
  • Excel exports include these codes for deeper analysis
  • Users can filter, view, and export GL data with full context

How it works

  • Navigate to Accounting > General Ledger > GL Transaction Search
  • Use the Layout icon to add GL Account Custom Codes to your view
  • When exporting to Excel, the custom codes will appear in the file
  • No setup required custom codes already defined for GL accounts will automatically display
This update is limited to GL Account Custom Codes only, keeping the export manageable and focused.
