System Update - October 16, 2023
Easily view historical expense claims and credit card transactions for employees with new office assignments
What is it? (A scenario)
An employee, who has transactions in Office A, moves to Office B.
User Office Employee's Current Office Employee's Current Office
Employee Transactions Office A Office A Office B Office A Prior to this release, the user logged in was required to have access to the employee's current office, B, to access historical expense claims/credit card transactions in the user's office, A.
Why does it matter?
The system is no longer validating the user's office against the employee's current office. As long as the user has access to the office of the transactions, they're able to access these transactions from the following pages:
- Manage > Expense Claims
- Manage> Credit Cards
- General Ledger Transaction Search
- General Ledger Transaction List Report and Excel
- General Ledger Transaction Summary Report and Excel
- Interactive P&L and Balance Sheet transaction details
How does it work?
There's no change in how to access the above
Analyze impact of interoffice journals with on-demand reports
View interoffice journals from source journal
For a journal where the header Office is different from the line entry office, a new link, Interoffice Journals, provides an immediate view of interoffice journals created from this source journal. For steps on creating a journal, click here.
Source Journal
The source journal 1002839 shows the source office, NY, on the Header, and the Interoffice Code(s) on the line items.
Interoffice Journals
The Journal Report shows the interoffice journals created for each office
Journal 10002840 for New York
Journal 10002841 for Portland
Enhanced Interoffice Reconciliation Report
The Interoffice Reconciliation Report has been updated to provide additional insight into interoffice transactions.
- For manual Interoffice Journals, the Transaction Type is now populated with 'Journal' and the Transaction Number contains the source journal number.
- The report now includes the Job No. and Task Type Code.
These enhancements are available on the PDF and Excel versions of the report.
To access the Interoffice Reconciliation Report, navigate to Accounting>General Ledger>General Ledger Reports and go to Transaction Reports
Other Fixes
Job No. on GL Transaction Search
On the GL Transaction Search page, the Job # is now visible if the transaction is assigned to office A, but the journal line is assigned to a job that belonged to Office B and the user set a filter for Office B.
Prior to this fix, the line item was visible, but the Job No. was masked.
