Ability to Change Tax Code on Draft Invoices

Overview

You can now override the default Tax Code and Tax Percentage on draft client job invoices giving billers more control and accuracy when generating invoices. 

 

What is it?

This update introduces editable Tax Code and Tax % fields in the General Settings section of draft invoices. It applies to all draft invoice types, including Estimate, Free Form, and Cost invoices.

 

Why it matters

Previously, the default tax code was locked once an estimate was created, even if the client later issued a PO with different tax requirements. This caused billing teams to create workaround invoices manually. 
 
Now, billers can:
  • Apply the correct tax code based on the client PO.
  • Ensure accurate tax calculations for EU VAT or other regional codes
  • Avoid duplicating estimates or creating freeform invoices unnecessarily

How it works

  • On any draft invoice, users can now edit the Tax Code and Tax % directly in the General Settings.
  • Once updated, the tax amount on each invoice line item will automatically reflect the new values.
  • These changes are also reflected in the Tax Accrual Report, ensuring accurate reporting.

 

When is it needed?

This feature is especially useful when:
  • The client’s PO specifies a different tax jurisdiction than the default estimate
  • Jobs are executed in regions with specific VAT requirements
  • Billing teams need to ensure compliance with tax reporting standards

 



View Attendees on Credit Card Approval Form

Overview

Approvers can now view Attendees directly on the Manage > Credit Card Form, streamlining the review process for corporate credit card transactions.

 

What is it?

A new Attendees column has been added to the Credit Card Approval Form. This enhancement allows approvers to see who participated in the expense-related activity (e.g., meals, events) without needing to open attachments or search through notes.
 

 

Why it matters

Previously, approvers had to dig into transaction details or attached files to identify attendees. This update:
  • Saves time during approvals
  • Improves transparency and accountability
  • Helps ensure compliance with agency policies for client or internal meetings

 

How it works

  • When approvers click into a credit card transaction from the Manage > Credit Cards page, the Attendees column is now visible on the form.
  • This column displays attendee names associated with the expense.
  • The feature follows the behavior outlined in the internal workflow documentation and is consistent with how other transaction details (like tax and receipts) are presented.

Note: The Attendees modal is only available on the Credit Card Form page. It is not implemented on the Credit Cards Browse page due to the manual line creation process.

This feature is especially useful when:
  • Reviewing meal or entertainment expenses
  • Validating client-related transactions
  • Ensuring policy compliance for group activities



Automatic Matching of Pending Bills to Card Transactions

Overview

Pending bills are now automatically matched to credit card transactions even when the transaction posting date differs from the original bill date making reconciliation faster and more accurate.

 

What is it?

This feature introduces a smart matching logic that links pending bills to card transactions based on:
  • Date proximity (within 1–5 calendar days)
  • Exact amount match 

Why it matters

Previously, pending bills could only be matched if the transaction date and posting date were identical. This caused issues when receipts were delayed or when transactions posted days later, especially for mobile app users submitting bills while receipts were still being scanned.
Now, the system:
  • Reduces manual matching effort
  • Improves accuracy of receipt-to-transaction links
  • Supports real-world posting delays

How it works

A pending bill is auto-matched to a card transaction if:
  1. Date Range: The transaction’s posting date is within 1–5 calendar days of the pending bill’s transaction date.
  2. Amount Match: The amounts match exactly in the card’s currency, including support for foreign currency codes and values.
Additional rules:
  • If multiple matches exist, the system selects the best candidate based on date closeness, and import timestamp.
  • Manual matching is still allowed, with warnings if merchants differ or amounts don’t align.

When is it needed?

This feature is especially useful when:
  • A user wants to record the card expense at the point it was incurred 
  • Receipts are scanned via the mobile app before transactions are posted
