Customize email subject for client invoices and other reports

Invoice number and client name

The email subject for a client invoice now includes the invoice number and the client name, e.g. Invoice No. P000492  for JSM LLC

If the email includes multiple invoices will not include the invoice numbers, e.g. Invoices for JSM LLC

If there are multiple clients in the email, the client name is excluded from the email subject.

Document number and reference data 

This enhancements extends to other reports emailed out of the platform. For example, the email subject on a Purchase Order now includes the PO number and the supplier name, e.g. Purchase Order No. 100144 for Vendor X

Define company name and sender name on emailed invoices or reports

Use Report Disclaimers to include the company name on the email subject and override the sender name on emailed reports, including client invoices. 

In the example client invoice below, the sender has been updated from the employee's email to "Finance Department" and the agency name "Global Communications Group" has been inserted before the client name.

Note - This option only applies when the Email Attachments function is selected.  

Group employee time data using agency-defined fields

Employee Custom Fields are now included in the time data export.  Navigate to Time & Tasks>Time Reports and select Export Data.  Your agency-defined Employee custom fields now appear after the Employee Name.  

If you have automated import routines that leverage this data export, please make the appropriate changes. 

 

Export "Invoice Multiple Estimates" view

The Invoice Multiple Estimates function allows you generate draft or final invoices for multiple Job Estimates at one time.  This is specially useful when generating  scheduled invoices across Estimates. 

To do a detailed analysis of Jobs with scheduled invoices, but have not been invoiced, you can now export this view by clicking on List Export on the top of the page.  Make sure to check "Select Scheduled Invoices" and specify the date range to analyze.

Define default 1099 supplier address

For 1099 reporting, US agencies can now define a specific 1099 address instead of defaulting to the Master Supplier address.  If the Create 1099? option is enabled on the supplier record, you'll be able to set an address to be the Default 1099 Contact.

Navigate to Settings>Supplier Contacts and click on New Supplier Contact button. Populate the record and check Default 1099 Contact?

Filter client invoices based on Client Order No.

You can now use the Client Order No. to search for or filter on specific invoices.
