Additional controls for expense management

What is it? 

We have added 2 new expense management rule types  that work in conjunction with our dynamic approval workflow 

  1. Reassign approval of submitter expense claims to supervisor
  2. Reassign approval of submitter credit cards to supervisor

Why does it matter? 

Our dynamic approval workflow allows you to set up rules to automatically direct transactions based on pre-defined Manager Approval Scenarios. 

This rule prevents employees from approving their own credit card transactions or expense claims and automatically redirects them to the approval workflow.

Posted hours vs. submitted timesheets

What is it? 

The page formerly known as the Time Approval under the Time & Task menu is now called Time Posting.

Why does it matter?

This change in terminology was made to differentiate it from the Weekly Timesheet page found under the Manage menu. 

  • The Time Posting page shows the daily hours recorded by each employee and whether they have been posted to the job, hence available for job reporting.  You can also see hours that have been recorded but not yet posted to the job. 
  • The Weekly Timesheets page is just a more direct way of accessing the submission status of timesheets.  This page is only available if the agency is enabled for weekly timesheet submission.

FIXES

Media Financial Summary (Freewheel agencies)


What is it? 

Estimates on the Media Financial Summary are now separated into separate lines based on the media type.  

Why does it matter? 

Freewheel allows the same Estimate number to be used across its media modules, but there is no unique ID assigned to the Estimate. Previously, all media types were merged into a single Estimate line. 

This enhancement makes it easier for the user to analyze client billing and supplier invoice details by Estimate and media type. 

How does it work?

There is no change to the functionality.  Estimates used across Freewheel's media modules now have a line for each media type. 

July 27, 2023  Update

AR and AP transactions migrated from another system that did not have a media type assigned on the Estimate were excluded from the summary when this fix was released.

These Estimates have been updated with the same media type on the vendor invoices from Freewheel, so data should now be showing up on the report.

 

BNZ Bank Payment File Format (New Zealand)

What is it? 

A new bank payment file format is now available for New Zealand. We've updated the BNZ bank file format with one modification: the automatic addition of "00" to the account number after file creation has been removed. Now, clients will manually add the final two digits of the suffix to the account number.

  • The total account number length will still be 15. 
  • Accordingly, the client will need to add 2 extra numbers as part of the bank account number (the last 2 numbers of the account suffix, so the system will not need to add the extra numbers). 

For example -  the bank account number would be entered as

Bank No 123192

Bank Account No 014886237

So the correct bank account no combined will be 123192014886237
