Simplify interoffice billing setup, default purchase orders to supplier payment terms, and manage purchase orders with Counta AI Connector.
Simplify Interoffice Billing Setup
What it is
When configuring interoffice billing, you can now see all active offices under Supplier Office and select a supplier from that office, even if the receiving office is outside your office access permissions.
Your existing office access permissions still apply to the office responsible for client billing.
Why it matters
Counta’s interoffice billing connects billing between offices: posting an interoffice client invoice automatically creates the corresponding incoming supplier invoice in the receiving office, removing the need to manually create it.
The receiving office retains control over when the supplier invoice is posted and which job and general ledger account the transaction ultimately posts to.
Previously, users with restricted office access often needed an administrator’s help to configure billing relationships with other offices. This update makes setup easier while preserving each office’s control over its accounting.
How it works
See Interoffice Billing for setup instructions and details on invoice creation, approvals, and reconciliation.
Purchase Orders Inherit Supplier Payment Terms
What it is
New purchase orders now automatically inherit the selected supplier’s default payment terms. You can change the terms when a different payment arrangement applies.
Why it matters
Previously, users had to check the supplier record and enter payment terms on each purchase order. Applying the supplier’s default terms removes this extra step and helps keep terms consistent.
Users no longer need to check the supplier record and manually enter payment terms on each new purchase order, saving time during PO creation.
How it works
When creating a new Purchase Order:
- Select a supplier.
- The system checks whether the supplier has default payment terms defined.
- If payment terms exist, the Purchase Order automatically populates with those terms.
- If the supplier's payment terms are blank, the Purchase Order payment terms field remains blank.
- Users can update or override the populated value if a different payment arrangement is required.
This ensures new Purchase Orders start with the supplier's default payment terms while still providing flexibility for exceptions when necessary.
Note: Payment terms only appear on printed purchase orders when the option Display Payment Terms on Purchase Orders is enabled. See Payment Terms on Purchase Orders for setup instructions.
Manage Purchase Orders through your AI Assistant
What it is
You can now create, update, and cancel purchase orders through a supported AI assistant connected to Counta AI Connector.
This builds on the ability to review open purchase orders during PO reconciliation, available since the connector’s initial launch.
Why it matters
If you already use an AI assistant to work with supplier requests, project information, or other inputs to purchase orders, you can now act on the related POs without leaving that workspace.
For example, you can:
- Create a PO for a production job
- Update a PO to include additional staffing for an event marketing campaign
- Cancel an overhead PO for an office purchase that is no longer needed
How it works
Tell your connected AI assistant what you want to create, change, or cancel and provide the relevant details. For updates or cancellations, include the purchase order number.
All actions follow your existing Counta permissions and business rules. Approvals continue to be managed in Counta or through email, following your agency’s configured approval workflows.
