What is Counta AI Connector?

Counta AI Connector is Accountability's AI-specific connector, built on the Model Context Protocol (MCP). It gives approved AI assistants access to your structured, agency-native financial and operational data in Accountability. Your team can instruct or ask the AI questions in plain language to generate financial insights on-demand.

What is the Model Context Protocol (MCP)?

MCP is an open standard that helps AI assistants connect to business systems and use approved tools and data. Counta uses MCP through Counta AI Connector to provide structured access to your agency financial information, without manual exports or a separate custom integration for every question.

Why does agency-native financial data matter for AI?

Agency finance depends on relationships between jobs, estimates, billing, time, media, WIP, revenue recognition, utilization, and client profitability. Accountability already organizes these relationships around the way agencies operate. Just as important, Counta's finance logic is calculated on our side, in our reporting endpoints, before any data reaches the assistant. A general accounting system leaves the AI to reconstruct agency logic from a generic ledger, which is where AI answers quietly go wrong. With Counta, the assistant works from data already shaped by Counta's own agency finance calculations, so the answers are grounded in your real financial logic.

What financial and operational data can AI work with?

Access depends on each user's Accountability permissions and the supported operation. The connector surfaces Accountability's own reporting logic as callable operations, including client profitability, aged WIP, job cost and billing, and GL and expense summaries, alongside operational data such as jobs, clients, timesheets, and media. What an assistant can retrieve is governed by the reports and permissions each user already has in Accountability. Because that access comes straight from your financial system of record, there is no separate AI permission set for your IT team to build or keep in sync, and finance access stays accurate by default.

Which AI assistants work with Counta AI Connector?

Counta AI Connector is designed to work with approved AI assistants that support the required connection. Setup guides are available for Claude, ChatGPT, Google Gemini, and Microsoft Copilot. One note on Gemini: on some operations, it does not reliably pass through all required parameters, which can affect certain actions, so review the setup guide before rolling it out.

Can an AI assistant create or update information in Counta?

Yes, for supported operations, and only when the connected user already has the required permission in Counta. At launch, write access is focused on time tracking. An authorized user may be able to create or update time entries, including approving, unapproving, and moving them. Everything else the connector does is read and analysis.

Does Counta AI Connector expose our entire database?

No. The connector does not provide unrestricted, open-ended access to the raw database. Every connection is authenticated, and each user can only retrieve information or perform actions permitted by their existing Counta role.

What happens to our data when an AI assistant uses it? Is it used to train AI models?

Counta AI Connector gives your chosen AI assistant permissioned, authenticated access to data in Accountability. Once that data is returned to the assistant, it sits inside that AI tool, so how it is stored, retained, or used, including whether it is used for training, is governed by your agency's own agreement and settings with that AI provider (for example Anthropic, Microsoft, or Google), not by Accountability. We recommend applying your existing AI and data-governance policies to the assistants you connect, the same way you would for any other tool that handles agency data.

Can we see what the AI did with our data?

Reading or analyzing data through a connected AI assistant does not change anything in the source database and does not create a record on Accountability's side, and we do not monitor how your team uses data once it is inside their AI tool. Write actions are different. When an authorized user creates or updates a record, that action is captured in Accountability's audit trail and attributed to the user who made it, the same way it would be for a change made directly in the UI or through a standard import.

Is there an additional cost to access the connector? 

Access to Counta AI Connector is included with eligible Platform subscriptions. To confirm whether your agency is eligible to activate it, contact your Account Lead or submit a support request within the platform. In the Support Ticket Subject, enter "Counta AI Connector".
