Creating Recurring Datasets in QuickSight
Overview
Recurring Datasets in QuickSight allow agencies to automate the creation and refresh of datasets using predefined filters and schedules. This feature ensures that users have timely access to updated data for reporting and dashboarding, without manual intervention.
This article outlines how to create a recurring dataset in Accountability, assign it to a QuickSight user, and configure its refresh schedule.
Step 1: Navigate to Recurring Datasets
To begin:
- Go to DATA ANALYSIS > Recurring Datasets in the Accountability menu.
- Click the New Recurring Dataset button at the top of the page.
If you have access, you’ll see a list of all existing recurring datasets and their associated report types.
Step 2: Select Report Type and Filter Template
On the Recurring Dataset Form screen:
- Report Type: Choose the report you want to schedule (e.g., Balance Sheet Statement, Client Profitability Summary).
- Filter Template: Select a saved filter template. This is a required field and determines the dataset contents.
💡 Tip: Create filter templates in advance to streamline dataset setup. For example, a “Balance Sheet – Current Month” template can be reused across multiple datasets.
Step 3: Define Dataset Details
Fill out the following fields:

| Dataset Name | Enter a name that clearly identifies the dataset. |
| Publish To Employee | Select the QuickSight Author who will receive the dataset. |
| Override Accounting Period |
Optional: Override the date range defined in the filter template. |
Step 4: Set the Recurrence Schedule
Choose how often the dataset should refresh:
- Monthly: Select a specific day of the month (e.g., 1st, 15th).
- Selected Days of the Week: Choose one or more weekdays (e.g., Monday, Wednesday).
You can combine scheduling options to meet your reporting needs.
Step 5: Save and Confirm
Once all fields are completed:
- Click Save to create the recurring dataset.
- The dataset will now appear in the QuickSight Datasets list for the assigned employee.
To view the dataset:
- Navigate to DATA ANALYSIS > AWS QuickSight.
- Click on the Datasets tab in the sidebar.
Security and Access Notes
- Only users with QuickSight Author access can create recurring datasets.
- Filter templates must be created and saved before assigning them to a recurring dataset.
- Dataset visibility and publishing are managed through Accountability’s user access controls.
