Managing QuickSight User Access
Overview
Once QuickSight is enabled for your agency, administrators can manage user access directly within Accountability. This includes registering users, assigning access levels, updating permissions, and revoking access when needed.
This article outlines all steps for managing QuickSight access for individual users and user groups.
Registering a User for QuickSight
To grant access to QuickSight:
- Navigate to Master Files > Employees.
- Open the employee record.
- Under Settings, click Register QuickSight User.
- Choose the access level:
- Author: Can create reports and dashboards.
- Reader: View-only access.
- Click OK. The system will automatically create a QuickSight user account.
Repeat this process for each employee who needs access.
Assigning Access via User Access Groups
User Access Groups allow you to manage permissions for multiple users at once.
To assign QuickSight access:
- Go to Set Up Files > User Access Groups.
- Select the group you want to manage.
- Use the arrow keys to move QuickSight-related transaction types to the Selected section.
- Click Save & Close.
You can also manage dashboard tile access:
- Navigate to Report Set Up > Dashboard Tiles.
- Use the Dashboard Tile Form to assign tiles to specific User Access Groups.
- Click Select for User Access Groups to define which groups can view each tile.
Updating or Modifying Access
To change a user’s access level:
- Return to the employee’s record.
- Click Update QuickSight User under Settings.
- Select a new access level (Author or Reader).
- Click OK to apply the changes.
To update group-level permissions:
- Follow the same steps in User Access Groups and adjust the selected transaction types or dashboard tiles as needed.
Removing Access from QuickSight
To revoke QuickSight access for a user:
- Navigate to the employee record.
- Click Delete QuickSight User under Settings.
- Select Remove Access.
- Click OK. The user will be removed from QuickSight.
Alternatively, you can:
- Remove the user from the relevant User Access Group.
- Disable their QuickSight registration manually.
Security and Permissions Notes
- Only users with active Accountability profiles can be registered.
- Access levels determine whether a user can build dashboards or only view them.
- Permissions can be updated or revoked at any time.
- Dashboard visibility is controlled via tile-level access settings.
